Name Change, Signature Mismatch & Transposition of Holders

A single letter out of place can hold up a claim for a year. Registrars match records literally, and if the folio says one thing and your PAN says another, the file simply stops.

The mismatches that cause the most trouble

  • Maiden name on the certificate, married name on PAN and bank records
  • Initials versus expanded names — “R. K. Sharma” on the folio, “Rajesh Kumar Sharma” on PAN
  • Missing or extra middle name, or a father's name used as a surname
  • Spelling variants — Krishnan/Krishnnan, Mehta/Meheta, Reddy/Reddi
  • Signature mismatch, where the signature on record was made decades ago
  • Joint holders in a different order across certificates and the demat account

Transposition — the same names, the wrong order

If a certificate reads “A and B” but your demat account is “B and A”, the shares cannot be credited. Transposition is the process of reordering joint holders so that the two match. It is one of the few changes to physical securities still permitted, and it is far simpler than a transfer — the same people continue to own the same shares, only the sequence changes.

Where some certificates in the same folio are in one order and others in another, we transpose them into a single consistent pattern so the entire holding can be dematerialised in one request.

Signature mismatch and banker attestation

Where the signature on your request does not match the specimen held by the Registrar, the standard remedy is Form ISR-2 — verification of your signature by your bank manager, along with the bank's confirmation of your account details. In stubborn cases, an affidavit explaining the change in signature and additional identity proof is also required.

If a folio has become non-compliant because PAN, KYC, bank mandate or nomination details are missing, dividends may be withheld and service requests refused until the folio is regularised. Fixing the records is therefore not just cosmetic — it is what releases the money.

Documents usually required

Every Registrar has its own preferences, so treat this as an indicative list. We confirm the exact set for your company and case before you have anything notarised or stamped.

  • Share certificates showing the name as recorded
  • PAN and Aadhaar showing the correct name
  • Marriage certificate, gazette notification or affidavit evidencing the name change
  • Form ISR-1 and, where the signature differs, Form ISR-2 attested by your bank
  • Cancelled cheque and Client Master List
  • Affidavit or indemnity on stamp paper, where the Registrar requires it

A note on originals. Never post original certificates or succession documents to anyone without a written acknowledgement and tracked courier. Where the process allows, we work from certified copies and only move originals at the point they are genuinely required.

Name Correction & Transposition — FAQs

Is correcting a name the same as transferring the shares?

No, and the distinction matters. A correction records the same person under their correct name. A transfer moves ownership to a different person — and transfers of physical shares are no longer permitted. Presenting a correction as a transfer is a common and avoidable mistake.

Can I correct the name at the same time as claiming from the IEPF?

The correction must be completed first. The IEPF Authority verifies the claim against the company's records, so those records need to be right before the claim is filed.

The holder is deceased and the name is also wrong. What comes first?

Sequencing depends on the Registrar, but generally the name discrepancy is resolved as part of the transmission application, supported by an affidavit confirming that the differently-named person is one and the same individual. We handle both in one file.
